Overview

UIIKinerja is a form of digitalization for creating Employee Performance Targets (SKP) and Employee Performance Achievement Assessments (PPKP). Active lecturers at the Indonesian Islamic University (UII) must complete the SKP and PPKP.

Kick-off

Our team uses the Scrum framework in application development. So, the kick-off of this product work begins after the Product Owner provides a product backlog in the Sprint Planning session. This session is the first gate to get initial information related to the product. The keyword of this product is the digitalization of SKP-PPKP creation.

Desk Research

After getting an initial overview of the product, I conducted desk research to increase my knowledge about it. Desk research is essential to communicate with stakeholders at the same frequency and in "one language" during the next information-gathering process.

Some of the desk research sources that I use are as follows:

  • Google is used to search for general SKP-PPKP information. Because civil servants, in general, also use SKP-PPKP.

  • Legal products are the basis/foundation of SKP-PPKP services.


Stakeholder Interview

In this session, I explore stakeholders' knowledge, needs, and desires related to the product to be designed. Stakeholders also explain the product's future vision and hopes.

Creating Flowchart

After getting information from stakeholders, I made a list of needed features. From each feature, I made a flowchart. Flowcharts help describe the product in general and identify the actors involved.

After the flowchart is done, it is carried out to stakeholders. This validation aims to ensure that the flow created is appropriate and that there are no significant changes in the middle of the development process.


Solutions

High-Fidelity Design

Our team has a design system that anyone can access. So, in making the design, most of it follows the source. After the high-fidelity design is finished, it is compiled into a prototype. Prototypes are needed for presentations to internal teams and testing to users. It helps get quick feedback.

Discussions with Development Team

Then, the following process was with the developer team–both front-end and back-end–and the product owner. This communication is essential to know whether the design can continue to the development stage or needs adjustment.

Validate Design to Stakeholder

Next, I validate the design with stakeholders. This ensures that the business process meets the needs and expectations of stakeholders, who are also users of the product.

Usability Testing

After the design ensures that it follows the needs and business processes, I do usability testing. This testing uses a Figma prototype to determine whether the design is easy to use.

Design Handoff

Next, the design, which has been validated by stakeholders and tested by users, is handed over to the developer team. In this session, we present the prototype and transfer knowledge related to the product to the developer team.
